Payment Schedule

  • Non-refundable 40% of total booth cost is due at time of reservation. Must be received within 7 business days of selection, booth to be released on 8th business day if not received.
    • Exhibitor is responsible for ensuring payment terms can be met PRIOR to selecting exhibit space.
  • Full Balance due by November 11, 2025.
  • Booth Release: booth reservations will be released on the 8th business day after the deadline for any unpaid booth fees without further notice to the exhibitor
  • Late Reservations after November 11, 2025 must pay in full within 7 business days of selection, booth to be released on the 8th business day if not received.
  • Online booth enhancements/advertising packages are 100% non-refundable.
  • Full refund of $80 Liability insurance available for cancellations prior to March 23, 2026

Cancellation / Downsizing / Refund Policy

  • Please see Section 7 of CBC Exhibitor Terms & Conditions for Booth Cancellation / Downsizing / Refund policy. Cancellations and booth downsizes will receive one (1) penalty point against exhibitor’s current priority points.

  • Tuesday, April 21  10:00 a.m. – 5:00 p.m. / Exhibitor floor access from 8:00 a.m. – 5:00 p.m.
  • Wednesday, April 22 10:00 a.m. – 5:00 p.m. / Exhibitor floor access from 8:30 a.m. – 5:00 p.m.
  • Thursday, April 23 10:00 a.m. – 3:00 p.m. / Exhibitor floor access from 8:30 a.m. – 12:00 a.m.

Move-In / Move-Out & Show Schedule

Move-in and move-out are based on booth size. Please make sure to reference the below schedule prior to making arrangements, as well as the Convention Center Labor Jurisdictions information. You can also find Freeman Marshalling Yard information here. (Information coming in early 2026)

See Move-In/Out Instructions below Schedule. Exhibitors must pickup badges during registration hours in order to be in the hall during setup times. If you did not pickup a badge or setup wristband you will not have access to the hall.

***Exhibitor Move-out: All Exhibitors (Breaking down of booths is strictly prohibited until after the show ends. Exhibitors found dismantling their exhibit prior to end of show will lose all possible priority points for current show and will be suspended from exhibiting at the following year’s show.

Move-in:

If your freight/materials are arriving to show-site via a commercial carrier or company vehicle (not personal vehicles): all drivers must report to the Marshalling Yard first during the specified move in time for your booth. They will then be directed to the convention center for off-loading. Any carriers that show up directly to the convention center will be re-directed to the Marshalling Yard to be assigned a loading time & dock. All drivers must have certified heavy and empty weights when they report to the Marshalling Yard.  If not, this will most likely cause missed targeted move-in as they will be sent to get the weights.  That will result in off-target costs.

If you are bringing your freight/materials using a privately owned vehicle (POV – non-commercial vehicle): You may proceed directly to the convention center docks during your specified move-in time.

Will Union Labor be required to move-in/set up my booth? Please review the Convention Center Labor Jurisdictions (coming soon) so that you know what to expect during setup.

Personal Vehicle Move-In/Move-Out Information:

DEFINITION OF PRIVATELY OWNED VEHICLE:

Privately Owned Vehicles are defined as cars, pick-up trucks, vans and other vehicles primarily designed for passenger use, not cargo or freight. Vehicles that do not qualify for this service, or that have material that requires mechanical assistance to unload, will be directed to the Freeman Marshalling Yard. This includes rental trucks of any type and pick-ups with trailers. 

To receive POV Cart Service, proceed directly to the facility and check in at the designated POV Check-In area for staging, checking in, processing paperwork and determining if vehicles are qualified for Cart Service. There will be signage posted to direct you.

Workers equipped with a flat cart scooter will assist exhibitors with unloading. Each cart will handle a load approximately 3′ wide x 4′ long x 3′ high. Freight must not exceed 300 lbs. For safety reasons, it will be the judgment of the freight supervisor if the load can go higher than 3 feet. Cart Service includes storage of empty cardboard/product boxes at no additional charge. Empty stickers for your cartons and cases will be provided for this service.

The determination of Cart Service versus Material Handling will be made at the discretion of Freeman management. Any disputes will be handled at the time of unloading.

2025 Move-Out Procedure:

Exhibitors may begin dismantling their booth immediately after show end, Thursday, May 1 at 3:00 pm (no earlier).

  • Freeman will begin delivering empty boxes/crates, based on booth size (see below) about 2~ hours after end of show, once aisle carpets have been pulled up.
  • See Move-out schedule above.
  • All outbound shippers/freight carriers hired to pick up your shipment must check in at the Freeman Marshalling Yard before proceeding to the convention center (see attachment) by the specified driver check in time below.
  • To guarantee load-out on Friday, May 2nd, Drivers must be checked in by 2:00 PM and Exhibitors must be packed up w/BOL turned in by 2:00 PM. Any BOL’s turned in after 2:00 PM will not be guaranteed a Friday load out.
